What happens when a customer accepts

Accepting an estimate creates its booking already scheduled and an unpaid invoice - the job itself is created when you confirm the booking.

Accepting on the approval link does three things in one step, automatically: it records the customer's signature and acceptance on the estimate, creates a booking for the date and time they picked, and creates that booking's invoice.

What's created on acceptance

RecordWhat happens
BookingCreated already scheduled for the date and time the customer chose before accepting - not left as an unscheduled follow-up. If the estimate came from a request that already had a linked booking, that booking is reused and linked to the estimate instead of a second one being created.
InvoiceCreated for the estimate's total, marked unpaid, linked to both the estimate and the new booking. If a business rule already created an invoice for this estimate first, that one is reused and linked instead of inserting a duplicate.

Why a duplicate invoice can no longer be created

This flow used to have a real risk: if the check for an existing invoice failed for any reason, the failure was silently read as "no invoice exists yet" and a second one got inserted. That lookup now stops and reports an error instead of guessing, so a lookup failure can never again result in two invoices for one accepted estimate.

Finding the accepted order

  1. Open the estimate - once it's booked, it shows the linked booking's status, the invoice and whether it's been paid, and the job once one exists.
  2. Or open the new booking directly from Bookings, where you confirm it.
