The QuickBooks integration is a one-way export: Servetic creates records in QuickBooks Online. Nothing is imported back, so your QuickBooks organization can never overwrite a customer or invoice you manage in Servetic.
Connect your organization
- Open Settings from the sidebar and choose Accounting.
- On the QuickBooks Online card, choose Connect QuickBooks Online.
- Sign in to Intuit and approve access to the QuickBooks organization you want Servetic to write to.
- You are returned to Settings, now showing Connected and your organization's name.
Run a sync
- On the connected QuickBooks Online card, choose Sync customers & invoices.
- Servetic works through your customers and invoices and creates whatever has not already been sent across.
- A summary shows how many customers and invoices were created, and how many errors happened.
What a sync actually does
| Record | What Servetic does |
|---|---|
| Customers | For each customer not yet synced, looks for an existing QuickBooks customer with a matching name. If one exists and either has no email or the emails match, it is reused rather than duplicated; otherwise a new QuickBooks customer is created. |
| Invoices | For each invoice not yet synced, creates a QuickBooks invoice against the matched or newly created customer, as a single line item using a shared "Servetic Services" service item, for the invoice's total amount. |
Every customer and invoice that syncs successfully is recorded with its QuickBooks ID, so running the sync again never creates duplicates - it only sends across what is new since the last run.
What this does not do
- Tax is not mapped across. Invoices post to QuickBooks with QuickBooks' own tax calculation switched off, so whatever tax treatment you set up in QuickBooks stays the authority on your books.
- Nothing is imported from QuickBooks. Editing or deleting a customer or invoice in QuickBooks has no effect on the Servetic record.
- Updating a record already synced, or reconciling payments between the two systems, is not part of this sync.
Checking sync health
The Accounting tab shows customers synced, invoices synced, and the time of the last sync. If a sync run hits errors, a Latest sync needs attention banner lists what failed, and the affected records are retried on your next sync.
Disconnect
Choose Disconnect on the QuickBooks Online card. Records already created in QuickBooks stay there; Servetic only stops sending new ones.
