Recording a payment
Invoices › Open an invoice › Record Payment
Money that didn't move through a connected gateway — cash, a cheque, a bank transfer — can be recorded against an invoice manually, so its paid and due totals stay accurate either way. Record Payment appears whenever an invoice still has a balance left.
- Open the invoice and choose Record Payment.
- Enter the Amount. It can't exceed the invoice's remaining balance.
- Pick a Payment Method: Cash, Card, Bank Transfer, Check, or Other.
- Add an optional Reference Number, useful for a cheque number or transfer ID.
- Save. The invoice's paid and due amounts, and its Payment History, update immediately.

Invoices
The Invoices list summarises what's outstanding across every unpaid invoice, split into an ageing profile: Current (not yet due), 1–30, 31–60 and 60+ days past their due date. Alongside it, Overdue totals every invoice actually past due, with a count and how many days old the oldest one is — so you can see collection risk at a glance rather than opening every invoice.
| Figure | What it means |
|---|---|
| Outstanding | The total of every unpaid invoice, regardless of due date. |
| Overdue | The total and count of unpaid invoices already past their due date, plus the oldest one's days overdue. |
| Ageing profile | That same unpaid total split into Current, 1–30, 31–60 and 60+ days past due. |
| Collected this month | What's been marked paid this month, with the change against last month. |
